1. Introduction

This Privacy Policy explains how MICAttendance ("the App") collects, uses, stores, and protects information when faculty members use the application.

The App is developed and operated by DVR & Dr. HS MIC College of Technology, located at NH 9, Vijayawada - Hyderabad Highway, Kanchikacherla, NTR District, Andhra Pradesh - 521180, India.

This App is an internal tool designed exclusively for faculty members (teaching staff) of DVR & Dr. HS MIC College of Technology. It helps faculty mark and manage student attendance efficiently by connecting with the college’s official database.

By using the App, you agree to the collection and use of information in accordance with this Privacy Policy.

2. Information We Collect

We collect only the minimal information necessary for the functioning of the App:

• Authentication Data: Faculty members login using their college-provided credentials. For OTP-based login, we temporarily process the faculty’s official college email ID to send the One-Time Password (OTP).
• Profile Information: After successful login, the App fetches basic profile details from the college database, such as full name, department, employee ID, and subjects handled.
• Attendance Data: When marking attendance, the following data is used and recorded into the college’s existing database:
  • Student Roll Number / ID
  • Student Name (fetched from college database)
  • Subject / Course Code
  • Date and Time of attendance
  • Attendance Status (Present / Absent / Late, etc.)
  • Faculty ID who marked the attendance

The App does not create or store any new personal data on its own. All core data is fetched from and saved to the college’s official database.

We do not collect device information, location data, camera access (except if needed for future features), or any analytics data.

Local Storage: The App may temporarily cache limited data using SQLite on the faculty’s device for offline functionality. This cached data is automatically cleared when synced with the college server.

3. How We Use the Information

We use the collected information solely for the following purposes:

• To authenticate faculty members securely through OTP verification sent to their official college email ID.
• To verify the identity of the faculty member and grant access to the App.
• To fetch the faculty’s profile information from the college’s official database.
• To enable faculty members to mark, record, update, and track student attendance for their assigned classes/subjects.
• To generate and view attendance reports for internal college administrative purposes.
• To maintain and improve the functionality and security of the App.

We do not use any data for advertising, marketing, profiling, selling, or any commercial purposes unrelated to college attendance management.

4. Third-Party Sharing

We do not share any faculty or student data with any external third parties outside our college.

All data processing happens exclusively within our college’s own systems (custom PHP backend server and MySQL database hosted and controlled by the college).

The OTP email is sent using the college’s internal email infrastructure. Expo services are used only for building the Android App Bundle (.aab) and are not involved in any data collection, storage, or transmission at runtime.

5. Data Storage and Security

All primary data is stored on secure servers located in India and managed by DVR & Dr. HS MIC College of Technology.

We implement reasonable security measures, including:

• Secure HTTPS connections for all data transmission.
• OTP-based secure authentication.
• Restricted access to the backend systems (only authorized college IT/admin staff).
• Role-based access control.

Temporary data may be cached locally on the device using SQLite, but it is limited and automatically cleared upon synchronization.

No method of electronic storage or transmission is 100% secure. We encourage faculty members to keep their college email credentials confidential.

6. Data Retention

We retain faculty profile data and attendance records only as long as necessary for the purposes stated in this policy or as required by the college’s administrative and legal obligations (typically for the duration of the academic year or as per college record-keeping rules). Once no longer needed, the data is deleted or archived according to the college’s internal policies.

7. User Rights

Faculty members have the following rights:

• Request Deletion: You may request deletion of your account and associated data by emailing us at mahanthi@mictech.ac.in. We will process the request after proper verification, subject to legal and administrative retention requirements.
• Request Correction: You may request correction of your profile information by contacting the college administration or the support email.
• Access: You can view your profile and attendance records within the App.

8. Children’s Privacy

This App is designed exclusively for faculty members (teaching staff) of the college and is not intended for use by anyone under 18 years of age.

9. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. Any material changes will be notified by posting the updated policy with a new effective date on this page.
